How to create an EPUAP profile or a qualified profile in Poland?

1. What are these profiles?

Trusted Profile (EPUAP) and qualified profile are two ways to confirm your identity online when dealing with public offices and institutions in Poland.

  • Trusted Profile (PZ) — free, issued by public administration, mainly used for logging into e-government platforms (e.g., ePUAP, CEIDG, e-PIT, PUE ZUS).
  • Qualified profile — paid, issued by private certificate providers, has the same legal power as a handwritten signature.

2. Trusted Profile (EPUAP)

🔹 What is needed

  • PESEL number,
  • Access to a Polish bank or e-ID,
  • Active mobile phone number,
  • Email address.

🔹 How to create a Trusted Profile

There are three ways:
1. Through online banking
The simplest way – log into your account in one of the banks that support the Trusted Profile, for example:
PKO BP, mBank, ING, Santander, Pekao, BNP Paribas, Alior, Inteligo, EnveloBank, Credit Agricole, and others.

👉 In the banking menu, select “eOffice / Trusted Profile”
→ follow the instructions,
→ the system will automatically create your EPUAP profile.

You don’t have to go anywhere — the entire process takes place online.

2. Through an e-ID
If you have a new ID with an electronic layer and an NFC reader, you can register through the eDO App or via the website www.epuap.gov.pl.

3. At a verification point
If you do not use online banking, you can:

  1. Register online at www.pz.gov.pl,
  2. Then go to a verification point (e.g., municipal office, ZUS, tax office),
  3. Show your ID and confirm your identity.

3. Qualified Profile

 🔹 How is it different from the Trusted Profile

  • It is paid (usually 200–400 zł for 2 years),
  • It has full legal power of a handwritten signature,
  • It works not only with administration but also in business relations (e.g., signing contracts, invoices, financial statements).

🔹 Certificate providers in Poland

 Qualified profiles are issued by, among others:

🔹 How to obtain it?

  1. Choose a provider and submit an application online.
  2. Select a method to confirm your identity:

    • in person (e.g., at a registration point),
    • remotely (e.g., using e-ID or video verification).
  3. After verification, you will receive:

    • qualified certificate,
    • software and cryptographic card / USB token for signing documents.

Processing time: from a few hours to 2 days.

 

4. When to choose which?

- Logging into offices, ZUS, CEIDG, e-PIT - Trusted Profile
- Submitting documents to KRS, signing B2B contracts - Qualified Profile
- Signing financial reports in e-Reports - Qualified Profile
- Applying for benefits or certificates - Trusted Profile

5. Practical tips

  • The Trusted Profile expires after 3 years, but can be renewed online in a few minutes.
  • The Qualified Profile requires re-verification after the validity period.
  • If you are an entrepreneur, it is best to have both:

    • EPUAP for everyday official matters,
    • qualified signature for reports and contracts.
